Position Title: Medical Assistant Team Lead
Department: Medicine-Nephrology
Full/Part Time: Full Time !

JOB SUMMARY
This position will provide administrative support to the Division of Nephrology Transplant Program. Responsibilities will include providing secretarial support for the Transplant Office. In addition will maintain a database of patient information, perform data entry and generate reports using Allscripts electronic medical record. Will be required to communicate with patients, hospitals, physician offices, pharmacies, insurance companies, laboratories, etc. regarding scheduling appointments and tests, test results, prescriptions, prior authorizations, and information related to the Transplant Program.
JOB RESPONSIBILITIES

  • Provide administrative support to the Transplant Office staff. Prepare charts for clinic, sending/receiving faxes, maintaining and ordering office supplies, delivery and pick-up of specimens and documents, office machine general maintenance, schedule meetings, and related tasks! . Screen and follow through on calls and mail for transplant n! urses and physicians and be able to handle routine matters (providing information or answering procedural questions). Is able to determine which calls require medical licensed intervention and forward calls as appropriate
  • Work with referring facilities to schedule initial visits of patients and their families to be evaluated and worked-up for transplant. Includes sending out new patient packet, verify patient compliance, obtain insurance approval through Jewish Hospital.
  • Communicate with patients and pharmacies regarding prescriptions and refills for patient medications, checking orders and documenting any action taken. Complete prior authorizations for medications.
  • Schedule appointments from written orders at the appropriate doctor's offices, laboratory and hospital. Send appropriate medical documentation and orders, document action taken. Communicate with patients the dates and directions for scheduled appointments. Follow up to ensure records f! or ordered tests, appointments, procedures, etc. are received. Request and send records as needed.
  • Modify and maintain electronic medical record and all databases for patient demographics, transplant workups, statistics on patient visits and related information. Generate reports from these databases as requested by the Transplant team
  • Maintain continuing education and required certifications regarding HIPPA compliance, computer systems training, patient information systems, etc.
  • Direct Patient Care: Includes taking blood pressure, hear rate, respirations, height, weight, Reviewing patient medications lists with the patient to determine what the patient is actually taking. Helping patients to and from exam rooms. Preparing the patients to be see by the physician. Any other related tasks requested by the physician, nurses or clinic manager.
MINIMUM EDUCATION & EXPERIENCE
  • High school diploma or general equivalency diploma (GED! )
  • Medical assistant diploma from accredited vocational institu! tion, or community college course in medical assisting or a certified nursing assistant which is approved by the Ky. Department of Medicaid and after successful completion the student will be eligible to take the KY State Registered Nurse Aide exam.
  • Minimum one year of working in a medical facility as a medical assistant and or documented evidence of externship completed in a medical office or minimum one year of working in a medical management company working utilization review or case management (authorization, medication refills, scheduling procedures).
  • Electrocardiogram (EKG), vital signs, venipuncture, capillary, and injection preferred experience.
  • CPR Certification
KNOWLEDGE, SKILLS, & ABILITIES
Knowledge
  • Knowledge of health care field and medical office protocols/procedures.
  • Knowledge of specific assisting tasks related to Nephrology medical practice.
  • Knowledge of information that must be convey! ed to patients and families.
  • Knowledge of precertification and authorization processes.
  • Knowledge of medical prescription refills.
  • Knowledge of health and prescription insurance.
  • Knowledge of computer applications-windows, word, excel, Outlook.
Skills
  • Skill in performing medical assistance task appropriately.
  • Skill in documenting medical information into electronic medical record system.
  • Skill in understanding patient education needs by effectively sharing information with patients and families.
  • Skill intact and diplomacy in interpersonal interactions.
  • Skill in telephone etiquette.
  • Skill in scheduling medical procedures.
  • Efficient at multiple tasking and prioritizing workflow.
